These terms and conditions apply to Code Kids Robotics Limited holiday camps and to our term-time classes.

Payments

Fees

  • All fees are payable prior to the start of the course

Foreign Payments and Bank Charges

  • Please ensure that you have settled any bank charges associated with international payments and full fees reach Code Kids Robotics Limited.

Cancellations

By Code Kids Robotics Limited

  • A minimum of 6 pupils is required for the camp to run. Code Kids Robotics Limited reserves the right to cancel the camp, no later than 5 days prior to course commencement date.
  • Should a camp be cancelled by Code Kids Robotics Limited, a 100% refund will be made.

Cancelling your Booking

  • Refunds are dependent on the promotion and/or the amount of notice that you give us.
  • Cancellations must be made in writing, by email, to info@codekids.org.uk. Proof of cancellation is only accepted if you have a confirmation email from Code Kids. We do not accept cancellation by telephone or any other methods.

Holiday Camps

Notice period for cancellation and refund policy
  • 30 days plus = Fee paid less payment transaction charge
  • 21-30 days = 50% of fee paid less payment transaction charge
  • 20 days or less = No refunds given

Term-time Classes

  • Code Kids Robotics Limited runs classes during the school term-time period. Term-time classes require upfront payment of a full term’s courses, which usually is between 8 to 12 weekly or bi-weekly classes.

Recurring Billing for term-time classes.

  • All term-time bookings recur, unless you have expressly, in writing, confirmed to Code Kids, and have received confirmation of receipt by Code Kids about your notice to cancel recurring booking.

  • Notice period for cancellation and refund policy for term-time classes

    • 21 days plus = No fee payable
    • 15 to 21 days = 50% of term-time class fee payable
    • 14 days or less = Full fee payable
  • Where payment for term-time classes has been made, and notice period for cancellation is less than 21 days prior to the start of the first term-time class, the following refund policy applies

    • 15 to 21 days = 50% of the fee less payment transaction charge
    • 14 days or less = No refunds given

Camp Operations

Late Arrivals, Early Departures or Absence

  • Fees are non-returnable for students arriving late, leaving early or missing a lesson (whether on account of illness or any other cause). If the camp has been booked, then full fees are payable.

Suspension and Expulsion

  • Code Kids Robotics Limited reserves the right to suspend or remove any student whose attendance, work or behaviour is, in their reasonable opinion, unsatisfactory. Under such circumstances, Code Kids Robotics Limited will be under no obligation to return any fees. The judgement of the Principal, course instructor or delegate for what constitutes attendance, work or behaviour under our Suspension and Expulsion policy, is final.

Admission to Code Kids Robotics Limited

  • Admission to any of the courses offered by Code Kids Robotics Limited is at the discretion of the Principal, course instructors or delegates. No student may be admitted onto a camp until the Emergency Contact form and Medical Form (if required) have been completed, and the terms and conditions have been signed and returned to Code Kids Robotics Limited, together with the camp or class fees.

Code Kids Robotics Limited Authority

  • Code Kids Robotics Limited reserves the right to take whatever steps it reasonably believes to be necessary to maintain discipline and to ensure the safety and wellbeing of staff and students.
  • Agreement is given for your child to leave the site 1) in the event of an emergency under supervision 2) at the end of the scheduled lesson which will not be under supervision.
  • Permission is given to administer medication if required. Our safe guarding and complaints policy are available on our website www.codekids.org.uk or by request.

Activities

  • Code Kids Camps implement good practice. The camp consists of sitting at a computer and having regular breaks, including physical activities during lunch breaks.
  • Enrolments requires you to agree that your child is physically fit to take part in general physical activities. If you have any concerns, please notify Code Kids in writing info@codekids.org.uk prior to attendance.
  • Please note that our staff are trained to monitor all activities to provide a safe environment, avoid risks and injuries. However, you accept that there is some risk of injury during these activities. Examples of activities included but not limited to are football, football rounders, ultimate frisbee, capture the flag, large inflatables, Kwik cricket and swimming and may be subject to change at different locations.
  • Code Kids Robotics Limited holds valid Public Liability Insurance and is available only on request.

Personal Property

  • Code Kids Robotics Limited holds no responsibility for the loss and damage to any personal property brought to camps.

Photographic Consent

During the camp we may take photographs, film, video or audio recordings of your child. We will use this material across four mediums:

  • Website – for publicity or blog posts on our website www.codekids.org.uk
  • Social media – promotional and informational purposes on social media accounts managed by Code Kids
  • Articles or blog posts to promote STEAM activities and engagement
  • Class Dojo or a similar secure classroom portal to keep parents and guardians of children informed of what the children have been doing and to showcase their progress. Access to this portal will be restricted to parents or guardians of the class participants.

If you do not want your child to be photographed or have video recordings taken you can opt out after making your booking. You can also inform the course instructor or the Principal on the day of the course if you wish to change your photographic consent permission.

Force Majeure

We shall not be liable for any delay in performing or failure to perform any obligation (including to action any alteration or cancellation) due to any case beyond our reasonable control including lock-outs, strikes, shortages of personnel, labour disputes, war, riot, act of God, civil commotion, terrorism, malicious damage, threats to safety, compliance with any law or governmental order, rule, regulation or direction, accident, environmental contamination, pandemic outbreak of disease, breakdown of plant or machinery, fire, flood, storm, difficulty or increased expense in obtaining workmen, materials, goods or raw materials in connection with the performance of this agreement.

General

  • If any provision of these Conditions is held by any competent authority to be invalid or unenforceable in whole or in part, the validity of the other provisions of these Conditions and the remainder of the provision in question shall not be affected.
  • This agreement is governed by the laws of England and the parties submit to the exclusive jurisdiction of the English Courts.
